What Really Happens When You Apply for a Job: Behind the Scenes of the Recruitment Process

Applying for jobs can be frustrating. You send out application after application, and most of the time you don’t even hear back. If you're in IT sales, PreSales, or cybersecurity, it can feel like you're shouting into a void despite having a strong track record.

But have you ever wondered what happens behind the scenes once you click “apply”?

Recently, a recruiter at a large tech company shared insights that I found highly relevant—not just for candidates in the US, but also here in the DACH region. I want to take these points, add my perspective as a headhunter, and give you practical advice on how to stand out in today’s crowded market.


1. Recruiters skim your CV—fast

Most recruiters spend 20 seconds or less deciding whether your CV moves forward. They’re scanning for keywords, titles, company names, and location. If something stands out, your application moves to the next stage. If not, it’s a quick no.

What this means for you:

  • Use a clean, bullet-point format—avoid dense paragraphs.

  • Lead with achievements and numbers ("Grew SaaS revenue by 30%" is stronger than "responsible for sales").

  • Make sure your current title and company match the role you're applying for. Recruiters want alignment.


2. Most rejections happen at a glance

Around 95% of rejections happen because of three factors:

  1. Location mismatch

  2. Job title mismatch

  3. Industry/company mismatch

If you're outside the hiring region or coming from a very different industry, many recruiters won’t dig deeper.

My advice: Be strategic. Apply only to roles where you’re geographically and professionally aligned—or clearly explain in your CV why your skills transfer.


3. Cover letters are dead (for most)

With AI tools like ChatGPT able to create cover letters in under a minute, many recruiters simply skip them. The cover letter has lost its power to differentiate.

Better focus: Invest your time in making your LinkedIn profile and CV strong, up-to-date, and keyword-optimized. Use your network to get referrals rather than hoping a cover letter will win attention.


4. Manual screening still rules

Despite all the talk about AI in recruitment, many recruiters (especially in specialized or senior roles) still screen CVs manually. No automated filters. Just a human eye making fast decisions.

This is where working with a headhunter becomes invaluable. Why? Because I already know what hiring managers want. I personally vet and present candidates I trust. When you work with a recruiter who knows you, you skip the noisy pile of 1000+ CVs and go directly to decision-makers.


5. The ultimate goal: secure the interview

Your CV’s job is not to tell your whole story. Its job is simple: get you invited to an interview. Nothing more, nothing less.

So ask yourself: does your CV make it effortless for a recruiter to say "yes" in those first 20 seconds? Or are you making them work too hard to find your value?

Each role you apply for deserves a tailored application. Higher quality = higher conversion rate = more interviews.


Final thoughts:

If you’re in IT sales, cybersecurity, or PreSales in the DACH region, remember this: recruiters are overwhelmed with applications. Most are scanning for fast, obvious matches. If you’re not a clear fit on paper, they’ll move on.

That’s why building visibility, trust, and personal connections is more powerful than ever.
